Archiving imagery for ease of future usage
Tauranga City Council has a rich visual history, captured through both professional and amateur photography.
Due to the pace and diverse priorities of the Council, properly archiving images and making them accessible to staff has sometimes proven difficult.
I was tasked with scoping, procuring, and setting up a platform to make these images easily accessible to internal teams.
We settled on a SharePoint solution, which aligned with Tauranga City Council’s existing digital framework (tech stack).
Responsibilities:
Gathered feedback from the wider organisation on the legacy image library and devised workflows to integrate it into the new platform.
Scoped multiple digital library platforms to determine what would work best for the Council and align with IT and budget requirements.
Devised workflows within the Communications Team for managing new images — from photoshoots and talent release forms to uploading on the SharePoint site.
Created quick-start guides and delivered workshops to help the team understand how to access, sign off, and publish images in a timely manner.
Results:
Derived greater value from historic images and videos for future campaigns.
Created an asset registry of every image, detailing where and when it was used.
Staff can now quickly access images and obtain clearance for usage.
